We're seeking an Associate Client Executive Team Lead to join our quickly growing and passionate team.

With flexible hours, you'll work across all Canadian time zones to provide full client and broking support to Client Executives and broking teams.

Responsibilities include, but are not limited to the following. 

Team Lead duties:
  • Providing guidance and support to Associated Client Executives (ACE) and Client Service Representatives (CSR) relating to insurance knowledge and processing questions
  • Managing shared inboxes to assign requests to the ACE on the account
  • Managing workload capacity for ACE / CSR team during peak periods or team absences
  • Reviewing dashboards monthly to ensure:
    • All policies have been renewed across the ACE / CSR team
    • All invoicing has been billed prior to month end close
    • All won opportunities have been updated and closed
  • Ensuring the ACE / CSR team’s adoption of new or revised processes or systems
  • Assisting with new workflow testing to provide feedback to Director of Operations or the project manager
  • Providing process training to new employees
  • Providing recommendations to the Director of Operations for workflow efficiency, gaps, and system capabilities
Associate Client Executive duties:
  • Reviewing and maintaining expiration lists weekly and updating Renewals Manager in Epic
  • Determining renewal strategy plans with Client Executives and broking teams
  • Preparing pre-renewal schedules and communication to clients
  • Working closely with Client Executives and broking teams to prepare market submissions for new and existing accounts
  • Following up with insurers for quotes and preparing summaries of terms for review with Client Executives
  • Preparing proposals to present terms to clients, obtaining orders from clients or Client Executives, and binding coverage with insurers
  • Conducting wording and account reviews, preparing comparisons, and providing recommendations for cross-selling opportunities
  • Compiling and preparing presentations and reports
  • Preparing bonds, cover notes, policies, client service agreements or engagement letters, and client correspondence
  • Preparing motor vehicle liability insurance slips and certificates of insurance
  • Attending client meetings and presentations
  • Interacting directly with clients and insurers to answer questions, resolve problems, and make required changes to policy coverage
  • Reviewing documentation from insurers for deficiencies and working directly with insurers to implement changes
  • Entering client information and agency / direct-bill invoices in Epic
  • Filing client documentation in Epic or in a shared Microsoft Office drive
  • Creating and following up on abeyances in a timely manner for outstanding items from clients, insurers, client executives, and broking teams
  • Monitoring and following up on outstanding account receivables
  • Answering internal queries and responding to audits in a timely manner
  • Following policies and procedures, including compliance, privacy, and client security procedures
  • Other duties, as required
 
Requirements

Technical:
  • A minimum of five years' experience as an Associate Client Executive within the commercial insurance industry
  • Provincial license in good standing required (additional out-of-province licenses will be required upon notification)
  • RIBO license is an advantage
  • Ability to develop and maintain knowledge of insurance company products and their underwriting rules
  • Superior written and verbal communication skills
  • Microsoft Office suite (Outlook, Word, Excel, PowerPoint) skills are required
  • Knowledge of Applied Epic broker management system is an advantage
